Community Rooms

 

Community rooms are available to facilitate community learning, literacy, economic development and social inclusion. Rooms are conveniently located and vary in size.

  • Payment for the hire of rooms must be made in advance. If you are making an ongoing booking, payment is required monthly in advance.
  • Bookings are only tentative unless confirmed 7 days prior to the event. If bookings are not confirmed, and payment is not made in advance, bookings will be cancelled.
  • Any additional costs or damage to rooms or facilities resulting from the use of the room, including attendance by staff or security to re-secure the building, will be charged to the hirer.
  • Libraries ACT may terminate a booking and right to hire a venue at any time.
  • All bookings for community rooms must be able to demonstrate a learning outcome for the community. This may be a formal, informal or non-formal learning opportunity.
  • Community rooms are not available for private parties or functions.

All applicants wishing to hire a community room must complete an application form, and are responsible for reading the applicable policy, and making themselves aware of their obligations for acceptable use of the facilities.

To make a booking please contact the relevant library well in advance and check availability.

 

 

Public Risk Insurance

 

Not for profit community groups and small unincorporated groups wishing to hire community rooms are not required to have public liability insurance.

All other hirers must:

  • Hold the Territory or the ACT Public Library harmless from any cost, expense, liability.
  • Have at least $10 million of public liability insurance in place, adequately arranged to indemnify the ACT Government.This insurance is required to protect you and the Department against any claim which may arise from the activities you are organising in the building. You will need to arrange your own $10 million Public Risk Insurance Policy (obtained from an insurance company of your choice), and you must produce a copy of the policy and a certificate of currency.

 

Rooms and Charges

 

  • All rooms include tables, chairs and whiteboard.
  • Any additional costs or damage resulting from use of these spaces, including attendance by staff or security, will be charged to the hirer. 
  • We reserve the right to increase fees as per Government fees and charges. Fees may change within the period of booking, usually 1 July each year.
  • Minimum charge is for one hour.

Conditions of Use

 

When hiring rooms, all users are responsible for:

 

  • Reading and accepting the Libraries ACT Learning Facilities hire policy and conditions of use and complying with all the requirements outlined
  • Indemnifying the ACT for any injury to persons on library premises
  • Indemnifying the ACT for any damage to equipment owned by the group
  • Collecting the keys before the booked time, during library opening hours
  • Paying the specificed fee to hire the room according to the current policy fees and charges - payment must be made in advance and use of the room cannot be confirmed until payment is received
  • Providing applicable insurance details
  • Setting up any equipment, chairs and tables during paid time
  • Restoring rooms to their original condition before leaving
  • Not bringing in food warming or cooking equipment
  • Securing the building, giving attention to the locking procedure of the library concerned:
    • Doors and windows locked
    • Power points, lights, air-conditioning and urns turned off
    • Returning keys according to library requirements
    • Reporting any damage
    • Observing no smoking regulations
    • Paying a cleaning fee if any of the facilities are left in an unacceptable condition
  • Paying any penalty fees including a call-out fee (per hour) if after hours call out is required 
  • Providing their own consumable items, eg tea, coffee, milk, cups, cleaning supplies
  • Leaving the rooms clean and in good condition
  • Providing a minimum of 24 hours notice of cancellation
